Scanex use state of the art scanning machines and capture software to allow us to process our clients files to a high quality standard and within client driven timescale's.

Scanex processes and procedures for scanning are completed within ISO9001 practices and this ensures that our customers receive a quality service .

A typical requirement for our customers is to scan and index the contents of archive boxes to file.

Typical information that is required before Scanex can provide an accurate quotation and complete a project document is as follows:

What paper sizes are in the archive box (typically A4 or mixed A4 and A3 this can go up to A0).

How many boxes are there and what is the average number of sheets or folders in a box (if folders average number of sheets per folder).


Is the paper all black and white or mixed black and white and colour or all colour, is the paper 2 or 3 ply that needs separation.


Is the paper printed single or double sided and do we need to scan simplex or duplex.


Is the paper in folders or lever arch files, how many are in a typical box and how are they held together (staples, clips, in plastic wallets etc).

How do we index the files to allow you to find them again, this could be typically a single name per file or folder and/or single or multiple names/ref numbers per sheet or section (this can include sub section indexing in multiple page PDF's).

How do you want the files presented to you. we would recommend PDF format or searchable PDF format black and white or colour, 200DPI resolution is sufficient for most screen viewing purposes

Please note if your files are to be reproduced by a professional printer we would recommend 300 DPI resolution minimum

Is the PDF to be single page or multiple page

Do you want the indexes to be presented in a separate CSV file for import into a document management system with a reference to the image name or number

Do you want the
want the files collected
by our courier service,
a dedicated van and driver or do you wish to arrange your own delivery/collection to and from Scanex.

Do you need scanning off site or on site

What do you want done with the files once scanned ie: returned to yourselves, or security shredded with a certificate of destruction at the end of the project, please note no files are destroyed until we have written confirmation to shred paper files from clients.

Do you have any special security requirements for your files.

Do you want the output on CD ROM, DVD or hard drives

Do you want the data disks encrypted and/or password protected.

As you can see the process of scanning files is not quite as simple as running them through a fast machine and whilst our charges are some of the lowest in our industry these can vary depending on your exact requirements.
